Counselor Terms
Last updated: October 2026
01
Who These Terms Are For
These terms cover the PrepToDone counselor workspace and its plans. They apply when you use the workspace to make documents for students you advise — as an independent counselor, at a school or in a practice. You use the workspace in the course of your work.
They add to our Terms of Service and Privacy Policy, which also apply. Where they differ, these terms govern the workspace and its plans.
02
Your Account
- You sign in with a link we email to you. Anyone who can read that inbox can sign in, so keep it secure.
- An account is for one counselor. Don't share your sign-in.
- Signing in and adding students is free. Making documents needs a plan.
- To close your account, email us.
03
Plans and Student Spots
- Solo — up to 15 students a year
- Practice — up to 40 students a year
- Unlimited — no student limit
- A student uses a spot the first time you make a document for them in a plan year. Adding or editing a student does not use one.
- A plan year runs from a payment to the next renewal. Under the founding term in section 04, the first plan year runs until the first renewal.
- Removing a student does not give their spot back that plan year. Each renewal starts the count again from zero.
- You can move to a larger plan at any time; the difference for the rest of the plan year is charged right away. To move to a smaller plan, email us, and the change applies from your next renewal.
04
Price and Payment
- Plans are billed once a year, in advance, in US dollars. Any tax is shown at checkout, and the total you approve there is the amount charged.
- Payments are processed by Paddle.com Market Limited, our Merchant of Record. Your contract of sale for each payment is with Paddle, and your receipts come from Paddle.
- The founding term: a plan bought while the founding offer is shown runs through Dec 31, 2027. It then renews every Jan 1 at the same price, for as long as the plan stays active. A plan you upgrade to keeps the price you upgraded at.
- A plan bought after the founding offer ends renews one year after it was bought.
- Prices can change. A founding plan keeps its price. For any other plan, we email you at least 30 days before the renewal at which a new price would apply, and you can cancel before then.
- If a plan ends and you start a new one later, the new plan is at the price shown then.
05
Renewal and Cancelling
- Your plan renews automatically at the end of each plan year, and Paddle charges your card, until you cancel.
- We email you at least 7 days before each renewal with the date, the amount and how to cancel.
- You can cancel at any time in your workspace, under Manage billing. Cancelling stops the next renewal; your plan stays active until the end of the plan year you paid for.
- If a renewal payment fails, Paddle tries again for a while and your plan stays active meanwhile. If the payment does not go through, the plan ends.
- When a plan ends, your students and the documents already made stay, and no new documents can be made until you choose a plan again.
06
Refunds
- You can get a full refund within 14 days of any payment — the first payment and each yearly renewal — as long as you have made documents for 3 or fewer students in that plan year. You don't need to give a reason.
- Each counselor account can get one such refund. After that, or once documents have been made for more than 3 students in the plan year, a payment is not refunded automatically; email hello@preptodone.com if something we made was wrong, and we will look at it.
- Use "Request a refund" in your workspace, or email hello@preptodone.com from the address you sign in with.
- A refund covers the whole payment and ends the plan as soon as it is approved. Documents already made stay open at their links.
- An upgrade charge does not start a new refund window. If you ask for a refund within 14 days of a payment and you upgraded after that payment, we refund the upgrade charge as well, by email.
- Paddle returns refunds to the original payment method, usually within 5–10 business days depending on your bank.
- Outside those 14 days, payments are not refunded in part; cancelling stops the next renewal instead.
07
Student Records
- For each student you enter a label, an SAT or ACT score, a college list, an optional family income band and, later, the Early Decision result.
- Use initials or a nickname as the label. Don't enter a student's full name, email address, phone number or other contact details.
- You confirm that you may share this information with us for this purpose — for example, that the student or a parent agreed, and that your school or practice allows it.
- We use student records to make the documents you ask for and to run the workspace. We may also use them in aggregate, with no label and nothing that identifies a student or you, to measure and report how accurate our documents were and to improve them.
- We don't sell student records, don't use them for advertising and don't contact your students or their families.
- A document opens for anyone who has its link. Send it only to the student and their family.
- Removing a student takes them off your list at once. Documents already sent stay open at their links.
- To have a student's record and its documents deleted, email us, and we delete them within 30 days. If a student or parent asks us to delete their record, we do the same and let you know.
- When you close your account, we delete it with its student records and documents within 30 days, and their links stop working. Payment records that we or Paddle must keep are kept.
08
What the Documents Are
- Each document is an estimate read off figures that schools and the U.S. government publish. It supports your advice and does not replace it; you decide what to tell a student.
- This result is a data-driven prediction and does not guarantee admission.
- Where a school publishes no figure, the document says so rather than estimating one.
- If a figure looks wrong, tell us at hello@preptodone.com and we will check it against the school's own filing.
09
Fair Use
- Use the workspace for students you advise. Don't resell documents or access to the workspace, and don't copy our data out of it in bulk.
- To keep the workspace quick for everyone, there are limits on how many documents can be made in a short time.
- We may suspend or close an account that breaks these terms.
- If we stop offering the workspace, we email you at least 30 days ahead and refund the unused part of your plan year.
10
Changes and Contact
- We may update these terms. A change that matters takes effect at your next renewal, and we email you at least 30 days before it. If you don't agree, cancel before that renewal. A change the law requires can apply sooner.
- Our Terms of Service, including its limits on liability, apply to the workspace.
